Before attendance meets payroll: prepare the brief.

Start with the expected output.

Choose a sample attendance or payroll report that represents your operation. Mark the employee identifiers, dates, shifts, hours and exceptions it needs. That example helps everyone understand what the integration must produce.

Agree the attendance rules.

Late arrival, early exit, night shifts, holidays, weekly off days and missed punches all need a policy. Software cannot choose your workplace rules for you. HR should review the handling of these cases before the integration is commissioned.

Match employee identifiers.

A person may have one identifier in a biometric terminal and another in payroll. Agree the mapping and the process for new joiners, transfers and employees leaving. Inconsistent identifiers create avoidable reconciliation work.

Verify the available interface.

The selected device and software may support file export, middleware, an API or another approved connection. Confirm the actual edition, licence and supported format with the relevant vendors. Do not assume every payroll system can receive live device data.

Design the approval process.

Decide which records need review and when a reporting period becomes final. An employee may have a missed punch, a corrected shift or an approved absence. The integration should reflect the agreed approval process instead of simply copying raw punches.

Test representative cases.

Include a normal day, an overnight shift, a missed punch, a holiday and a corrected attendance entry. Compare the resulting report with the approved expected values. A small, agreed set of cases is more useful than testing only a perfect day.

Protect access and handover.

Limit administrative access to the people responsible for the system. Agree backups, account ownership and support boundaries. Share system names, formats and sample report structures when you enquire; avoid sending passwords or employees’ biometric templates through chat.
