1. Purpose and agreed deliverables

This Scope of Work defines the responsibilities of Smart Bio Nexus (the Vendor) and the purchaser (the Client). Services are limited to the confirmed quotation, this scope and any additional work agreed in writing.

The quotation identifies the hardware/software supplied, installation locations and applicable commercial terms. Products supplied under the agreed order are genuine and manufacturer-authorised.

2. Installation, configuration and training

  • Install the quoted devices at mutually agreed locations.
  • Provide basic hardware configuration, installation of the applicable desktop/web/cloud software and initial connectivity between the quoted device and software.
  • Configure company details, shift timings, standard attendance rules, holidays and weekly offs from client-provided information.
  • Provide one basic user-training session, up to one hour, covering daily use and standard reports.

Advanced, complex or non-standard rules depend on technical feasibility, manufacturer limitations and separately agreed commercial terms. Additional or refresher training is chargeable.

3. Support within the agreed plan

Phone, WhatsApp, email and mutually agreed remote-access tools are used for initial guidance and diagnosis during working hours. An on-site visit may be arranged when remote diagnosis is insufficient, subject to availability and the applicable warranty/AMC plan.

On-site attendance is not automatically free. Warranty, AMC and one-time support coverage are defined in the Implementation and Support Policy and the relevant written agreement.

4. Client readiness, data and coordination

  • Provide stable power, reliable internet, suitable LAN cabling, switches and routers.
  • Arrange required firewall rules, ports, IP access and other network permissions. Where the selected device supports Wi-Fi, provide a suitable signal at its installation point.
  • Provide accurate employee data, shifts, holidays and attendance/HR rules promptly, and verify the configuration after setup.
  • Nominate a primary point of contact and a secondary contact when the primary is unavailable.
  • Ensure the relevant staff are available for installation and training, and coordinate communication with end users.
  • Escalate important or major issues by email to maintain a clear record.

Errors or delays caused by incorrect, incomplete or late client information, site dependencies or unavailable approvals are not Vendor defaults.

5. Validation and acceptance

The client must check attendance data, standard reports and operation, and send acceptance or specific feedback within the agreed review period or a reasonable timeframe communicated for the installation.

Where the client has had a reasonable opportunity to validate and does not provide feedback within that period, completion is treated as deemed acceptance to the extent permitted by law. Acceptance does not remove applicable warranty or non-waivable statutory rights.

6. Work outside the standard scope

Unless expressly included in the quotation, the following are excluded:

  • Civil, carpentry, electrical work or cabling.
  • Network troubleshooting, IT infrastructure administration and third-party hardware/software.
  • Responsibility for payroll calculations, HR policies and statutory compliance.
  • Custom reports, software modifications, integrations or non-standard logic.
  • Data correction resulting from incorrect use or policy changes.
  • Multiple or repeated training sessions.
  • Re-installation caused by client-side changes.

7. Change requests and site visits

Requirements outside the agreed scope are change requests. They may involve additional charges and revised timelines; work starts only after the client’s written approval.

On-site visits are chargeable unless explicitly included and are scheduled subject to availability. Travel, boarding and lodging, where applicable, are billed separately as agreed.

8. Payments and responsibility limits

Implementation and support depend on timely payment. Delayed payments may suspend services, and resulting payment-related delays are not Vendor defaults.

To the extent permitted by law, Smart Bio Nexus is not responsible for business losses caused by client-side power failures, internet downtime, misuse, unauthorised changes or third-party interference. Responsibility is limited to the agreed scope and the invoice value of the affected product or service, subject to the Standard Terms and Conditions and non-waivable statutory obligations.

9. Acceptance of this scope

This scope and the Standard Terms and Conditions must be provided or referenced before order confirmation. By confirming the quotation, issuing a purchase order or authorising implementation on that basis, the client confirms the agreed deliverables, responsibilities and limitations.

Any variation must be confirmed in writing by Smart Bio Nexus. Keep the accepted quotation and scope with your project records.
