1. Choose a complete solution
A biometric or attendance installation combines genuine hardware, suitable software, configuration and continuing support. Compare the complete solution: product authenticity, manufacturer authorisation, attendance expertise, installation quality, software licensing, service coverage and long-term cost.
Price matters. Ask what is included in each quotation so that you can compare like-for-like and plan for any additional services.
2. Check authorisation and warranty eligibility
Smart Bio Nexus is an Authorised eSSL, ZKTeco, Biomax partner. Before buying, confirm the seller’s authorisation, product model, invoice, warranty eligibility, software licence, update access and support/escalation arrangements.
Manufacturer policies differ by product and sales channel. Products or services obtained from unauthorised sources can affect warranty or support eligibility; confirm the applicable manufacturer conditions in writing. Do not assume that every online listing carries the same coverage as an authorised supply and installation.
3. Match the system to your operations
Discuss your employee count, locations, shift patterns, attendance rules, payroll workflow, connectivity and future expansion. Check that the proposed vendor understands both the device and the software processes you need.
Assess technical capability, experience with similar requirements and the support arrangements that will apply after installation.
4. Confirm feasibility before placing the order
List each business requirement and agree in writing whether it is fully supported, partly supported or outside the proposed solution. Where a requirement is only partly feasible, record the supported portion and its limitations before issuing a purchase order.
The confirmed quotation and scope of work should identify the model, software, locations, configuration, integrations, training and support included. Features that have not been confirmed in writing are not guaranteed deliverables.
5. Review attendance and payroll reports
Standard reports follow the software manufacturer’s logic and available formats. Their features, customisation options and updates depend on that software; major report changes may not be technically feasible.
- Review sample attendance and payroll reports.
- Check shifts, weekly offs, holidays and exceptions against your operational needs.
- Confirm the agreed report formats before purchase.
- Ask for a separate written feasibility assessment and quotation for any custom report or payroll integration.
6. Attend a demonstration before deciding
Attend a demonstration before finalising your order. Ask our representative to show the relevant desktop, web or cloud attendance application and the reports you intend to use.

A demonstration helps you evaluate suitability; the written quotation and scope determine the features and services included in your purchase.
7. Replace assumptions with written confirmation
If a function matters to your business, ask for written confirmation before ordering. Discuss exactly what you need, what the selected system can provide and whether extra work is required. A feature seen in another model, a demo or a different licence is not automatically included.
8. Plan for installation and continuing support
Consider site readiness, power and network quality, staff training, warranty conditions and the most suitable AMC or paid support option. Review visit charges, spare-part coverage, travel costs and support hours before committing.
A clear support plan and agreed responsibilities help keep the system useful throughout its service life.
9. Your pre-purchase checklist
- Choose an authorised and technically capable supplier.
- Attend the relevant demonstration and review sample reports.
- Record requirements, feasibility and included features in writing.
- Confirm the quotation, payment schedule, scope, warranty and support plan.
